Department: Finance
Reporting To: Chief Financial Officer

Essential Duties and Responsibilities:

  • Ensuring all payroll transactions are processed efficiently
  • Collecting, calculating, and entering data in order to maintain and update payroll information
  • Compiling summaries of earnings, taxes, deductions, leave, disability, and non-taxable wages and reporting on this
  • Determining payroll liabilities by calculating employee federal and state income, social security taxes, employer's social security, unemployment, and workers compensation payments
  • Resolving payroll discrepancies
  • Balances payroll accounts (FSA, HSA, etc) to supporting documentation
  • Audits and reconciles benefits invoices to GL accruals
  • Maintaining and updating payroll system for earnings and deductions codes, differential pay set up and other payroll codes
  • Tracks and reconciles deferred compensation
  • Coordinates year end tax reporting (W-2s, 1099s, 1095s, etc.)
  • Maintaining payroll operations by following policies and procedures
  • Developing ad hoc financial and operational reporting as needed
  • Have a full understanding of time keeping policies for various departments
  • Work closely with People Ops to resolve system issues
  • Sets up out of state tax accounts and coordinates set up with Payroll company
  • Researches and provides guidance on payroll tax issues and unusual payroll payments
  • Mines payroll data to identify trends, suggest improvements and flag issues
  • Onboard employees for timekeeping
  • Design, document and implement procedures to streamline payroll processes
  • Other duties as assigned

Preferred Qualifications

  • Must be a Certified Payroll Professional
  • 7+ years payroll experience required
  • Experience with HSAs, FSAs, 401k/403b plan and deferred compensation
  • Experience with multiple and complex earning codes
  • Experience with multi-state payroll issues
  • Ability to work independently
  • Extensive knowledge of payroll taxes and regulatory issues
  • Managed set up in payroll system with an HRIS interface
  • Associates or Bachelor degree in Business Administration/Finance
